The internet-based documentation system (eCRF) contains legally protected and confidential information and content. Unauthorized copying, reproduction, and/or distribution to third parties is prohibited.
Users must comply with applicable data protection regulations. Personal data—i.e., any information relating to an identified or identifiable individual—must not be collected, used, disclosed, or otherwise processed without authorization.

Data protection is of utmost importance to the management of MedicalSyn GmbH. The processing of personal data is necessary for the proper use of the internet-based documentation system (eCRF) and the services offered. If such processing is not already legally justified, we will obtain the required consent.
The processing of personal data (such as name, address, email address, or phone number) always complies with the General Data Protection Regulation (GDPR) and other applicable national data protection laws. Through this privacy policy, we aim to inform the public about the nature, scope, and purpose of the personal data we collect, use, and process. Additionally, affected individuals are informed about their rights.
MedicalSyn GmbH, as the data controller, has implemented numerous technical and organizational measures to ensure the most comprehensive protection of personal data processed via this website. However, internet-based data transmissions can inherently have security gaps, making absolute protection impossible. Therefore, individuals may choose to transmit personal data to us via alternative means, such as by phone.

To properly use the eCRF, we store the personal data you provide (especially name, position, email address). Your login credentials for the eCRF are provided via email. The related data is deleted when storage is no longer required or processing is restricted if legal retention obligations exist.

We do not share your personal data with third parties except in the following cases:

You have given your explicit consent (Art. 6(1)(a) GDPR).

Disclosure is necessary to assert, exercise, or defend legal claims, and there is no reason to assume that you have an overriding legitimate interest in not disclosing your data (Art. 6(1)(f) GDPR).

We use appropriate technical and organizational security measures to protect your data against accidental or intentional manipulation, partial or complete loss, destruction, or unauthorized access. Our security measures are continuously improved based on technological advancements. Any user who has not actively used the eCRF for at least 30 minutes will be automatically logged out. Unsaved data entered before logging out will be lost.

All data entries and modifications in the eCRF are recorded in an audit trail, which can be viewed using the "Log" button within each instrument.
