MedicalSyn is liable for the content of the internet-based documentation system (eCRF) in accordance with statutory provisions. However, no guarantee is given for the accuracy or completeness of the information provided on this portal and within the documentation system.

References and links to third-party databases, websites, services, etc., do not imply that MedicalSyn endorses the content behind such references or links. MedicalSyn is not responsible for the data and information provided there. As MedicalSyn has no influence on the content behind these links, it is not liable for their availability, existence, or security, nor for their content. In particular, any liability for their legality, accuracy, completeness, and timeliness is excluded.

MedicalSyn assumes no liability for disruptions within the network that are beyond our control. The user acknowledges that the eCRF may be unavailable from time to time due to various reasons, including hardware malfunctions or maintenance work.

The internet-based documentation system (eCRF) contains legally protected and confidential information and content. Unauthorized copying, reproduction, and/or distribution to third parties is prohibited.

Users must comply with applicable data protection regulations. Personal data—i.e., any information relating to an identified or identifiable individual—must not be collected, used, disclosed, or otherwise processed without authorization.

Privacy Policy

Data protection is of utmost importance to the management of MedicalSyn GmbH. The processing of personal data is necessary for the proper use of the internet-based documentation system (eCRF) and the services offered. If such processing is not already legally justified, we will obtain the required consent.

The processing of personal data (such as name, address, email address, or phone number) always complies with the General Data Protection Regulation (GDPR) and other applicable national data protection laws. Through this privacy policy, we aim to inform the public about the nature, scope, and purpose of the personal data we collect, use, and process. Additionally, affected individuals are informed about their rights.

MedicalSyn GmbH, as the data controller, has implemented numerous technical and organizational measures to ensure the most comprehensive protection of personal data processed via this website. However, internet-based data transmissions can inherently have security gaps, making absolute protection impossible. Therefore, individuals may choose to transmit personal data to us via alternative means, such as by phone.

§ 1 Information on the Collection of Personal Data

  1. Below, we provide information on the collection of personal data when using our portal. Personal data refers to all data that can be personally related to you, such as name, address, email addresses, and user behavior.

  3. To properly use the eCRF, we store the personal data you provide (especially name, position, email address). Your login credentials for the eCRF are provided via email. The related data is deleted when storage is no longer required or processing is restricted if legal retention obligations exist.

  4. We do not share your personal data with third parties except in the following cases:

    • You have given your explicit consent (Art. 6(1)(a) GDPR).

    • Disclosure is necessary to assert, exercise, or defend legal claims, and there is no reason to assume that you have an overriding legitimate interest in not disclosing your data (Art. 6(1)(f) GDPR).

    • A legal obligation requires disclosure (Art. 6(1)(c) GDPR).

    • It is legally permissible and necessary for contract execution (Art. 6(1)(b) GDPR).

  5. We use appropriate technical and organizational security measures to protect your data against accidental or intentional manipulation, partial or complete loss, destruction, or unauthorized access. Our security measures are continuously improved based on technological advancements. Any user who has not actively used the eCRF for at least 30 minutes will be automatically logged out. Unsaved data entered before logging out will be lost.

  6. All data entries and modifications in the eCRF are recorded in an audit trail, which can be viewed using the "Log" button within each instrument.

  7. When using the eCRF, additional personal data is collected, transmitted by your browser to our server, and required for the system's functionality and stability (Art. 6(1)(f) GDPR):

    • IP address

    • Date and time of request

    • Time zone difference from GMT

    • Content of the request (specific page)

    • Access status/HTTP status code

    • Data volume transferred

    • Referring website

    • Browser

    • Operating system and interface

    • Language and browser version

§ 2 Your Rights

You have the following rights regarding your personal data:

  • Right to access

  • Right to rectification or erasure

  • Right to restriction of processing

  • Right to object to processing

  • Right to data portability

Additionally, you have the right to lodge a complaint with a data protection supervisory authority.

§ 3 Objection or Withdrawal of Consent

  1. If you have given consent to process your data, you may withdraw it at any time. This withdrawal will affect the legality of processing from that point forward.

  2. If the processing of your personal data is based on a legitimate interest, you can object to it. In such a case, we request that you provide reasons why we should not process your personal data as we do. If your objection is justified, we will assess the situation and either stop or modify the data processing or present compelling legitimate grounds for continuing the processing.

§ 4 Duration of Storage of Personal Data

Your personal data is stored in accordance with applicable legal retention periods, such as tax or commercial law regulations. After these periods expire, the data is deleted unless continued storage is necessary for contractual purposes or there is a legitimate interest in further retention.

Applicable Law & Jurisdiction

The laws of the Federal Republic of Germany apply. The place of jurisdiction for all legal disputes is Dresden.
